Job Description - Administrative Assistant

DUTIES AND NECESSARY SKILLS CAN INCLUDE BUT MAY NOT BE LIMITED TO:
  • Preparing of expense reports for auditing and invoicing purposes.
  • Assisting with daily administrative tasks regarding overall office management, organizing the office schedule and office activities, managing the office calendar.
  • Manage the CEO’s calendar and schedule of activities.
  • Organizing and coordinating all program calendar invites, ensuring all necessary reading materials and agendas are included.
  • Maintaining and updating files, both hard copy and electronic.
  • Recommending purchase of materials or resources needed for office staff or participants.
  • Reviewing and correcting typed material to ensure correct spelling, punctuation and proper format.
  • Responding to routine telephone calls and referring calls, visitors and guests to the appropriate staff.
  • Performing basic word processing assignments as needed using a personal computer, word processing equipment or another automated office equipment.
  • Ability to manage social media accounts.
  • Ability to research grant opportunities; assist in grant applications
  • Research and gain knowledge of relevant community activities for organizational involvement.
  • Excellent communication, planning, organizational and multi-tasking abilities.
Minimum Qualification Requirements
 
1. A baccalaureate degree from an accredited college and two years of experience in administrative work or in an area related to the clerical duties described above; or

2. High school graduation or equivalent and six years of experience in administrative work or clerical centered activities in an area related to the duties as described above; or

3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.

4. Requires some evening hours and occasional weekend work.
